Context

In my role as Product Designer at Factorial, I led the design of a new benefits model that allowed employees to spend directly on Meals and Transport via a company-issued payment card. The goal was to reduce administrative friction and give employees more flexibility while ensuring compliance with local tax regulations.

Problem Breakdown

Through user interviews and operational analysis, we identified three core pain points:

  • Operational burden: HR teams manually processed vouchers and reimbursements.

  • Poor employee experience: Long delays before benefits could be used or reimbursed.

  • Compliance complexity: Manual merchant category checks for tax validation.

Process

  • Research: Conducted interviews with HR admins and employees across Spain, Portugal, and Italy to understand pain points in the current process.

  • Co-creation: Partnered with product, engineering, and compliance teams to design a BaaS integration using Stripe’s card issuing APIs.

  • Prototyping: Developed interactive prototypes focusing on transaction clarity, real-time budget tracking, and merchant category filtering for tax compliance.

  • Validation: Ran usability testing sessions with target HR teams and employees, iterating on flows for onboarding, card activation, and transaction management.

Solution

A seamless card-based experience where:

  • Employees receive a virtual or physical card.

  • Purchases at eligible merchants are automatically approved.

  • Real-time transaction data is visible in the app, with remaining budget displayed instantly.

  • HR can configure and adjust budgets per category without technical support.

I designed the experience covering the entire lifecycle — from the first touchpoint to payroll integration:

  1. Awareness → HR decision-makers discover the new card-based benefits model via marketing materials and in-platform prompts.

  2. Conversion → HR teams purchase the benefit package directly inside the platform.

  3. Account & KYB Setup → Guided flow for creating a company account and completing KYB (Know Your Business) checks to enable card issuing.

  4. Card Creation → HR admins create and assign virtual or physical cards to employees, with category-specific spending limits.

  5. Usage & Tracking → Employees spend benefits at eligible merchants; real-time transactions and budgets update in the app.

  6. Payroll Export → HR exports benefit expenses in a payroll-ready format, automatically mapped to the correct tax treatment.
